Attendance and payroll
Commercial cleaning is a people business
For most cleaning companies, labour is the single largest operating cost. Small differences in attendance may seem insignificant when viewed one shift at a time, but across a workforce they can become one of the biggest hidden costs in the business.
This is not about mistrusting employees. It is about understanding what actually happened, paying people fairly and making informed business decisions based on accurate information rather than assumptions.
Attendance data should protect employees as well as employers. It should help the business pay fairly, recognise genuine extra work and understand where contracts are running differently from the plan.
Twelve minutes does not sound like much
Imagine a cleaner finishes work just 12 minutes earlier than their scheduled finish time each day. It does not sound significant. Nobody notices. The customer does not complain. The supervisor is busy elsewhere.
But over time, those small differences add up. Twelve minutes per day over five days is 60 minutes per week. That is one hour every week. Across a full year, one hour per week becomes 52 hours.
That is more than an entire working week's worth of paid time for one employee.
What does that cost?
From April 2026, the UK National Living Wage for workers aged 21 and over is £12.71 per hour. On that rate alone, 52 hours equates to £660.92 per employee per year.
Wages are only part of the employment cost. Employers also have to consider employer National Insurance, pension contributions, holiday pay accrual, payroll administration, uniforms, training and management overhead.
Once those costs are included, the practical cost can easily exceed £750 per employee every year.
These figures are illustrative, but the point is simple. When labour costs represent the majority of your operating expenses, even small attendance differences deserve attention.
Timesheet review helps compare planned, actual and payable time before payroll hours are approved.
Attendance is not just about people leaving early
This is where many attendance systems get it wrong. Sometimes employees work more than planned. A customer asks for additional work. A deep clean takes longer than expected. Equipment problems delay completion. Another cleaner needs help. A supervisor requests additional tasks.
Without accurate attendance records, employees may not be paid correctly, overtime may be missed and contract profitability becomes harder to measure.
Attendance accuracy should protect the cleaner as much as the cleaning company. It gives both sides a clearer record of what happened.

Accuracy should not create administration
One concern many cleaning companies have is simple: if exact attendance is recorded, will payroll become a nightmare?
Not if the system is designed properly. Investigating every two or three minute difference would create unnecessary work and frustration. Good attendance management focuses on the exceptions that matter.
Small differences happen every day
Employees may arrive two minutes late because of traffic, finish three minutes early because the customer locked the building, spend an extra five minutes putting equipment away or leave slightly later after speaking with a customer.
These are normal operational variations. Most businesses do not want payroll teams manually reviewing every small difference.
Using an allowable attendance variance
KleanFlo has been designed with this in mind. Rather than requiring supervisors to investigate every minute worked, KleanFlo allows businesses to configure an allowable attendance variance.
For example, if a scheduled shift is two hours and the configured variance is 5%, the tolerance allows approximately six minutes either side of the planned duration. If the cleaner checks in and checks out within that configured tolerance, the shift can be automatically approved, payroll can use the scheduled hours and no manual intervention is required.
This gives cleaning companies a practical balance between accuracy and administration.
Exception-based management
Instead of reviewing every attendance record, supervisors only need to review the exceptions. These might include significant early finishes, significant overtime, missing check-outs, late arrivals, attendance outside the configured tolerance or repeated attendance patterns.
For an 80-cleaner business, this matters. Without an allowable variance, payroll may need to investigate hundreds of tiny attendance differences every week. The administrative cost of reviewing every record could quickly outweigh the value of those small differences.
By automatically approving attendance within an agreed tolerance, supervisors can focus their time where it genuinely adds value.
Exception review can include location evidence where geofencing is used.
The planned schedule gives the attendance record context.
Fair for employees
An attendance tolerance is not just beneficial for employers. It also protects employees. Small operational differences do not unnecessarily affect pay, while genuine additional hours can still be recognised.
Employees benefit from consistent payroll, transparent attendance records, fewer payroll disputes and recognition for legitimate overtime.
Attendance provides operational insight
Accurate attendance is not only about payroll. It helps cleaning companies understand which contracts regularly overrun, which sites consistently finish early, whether quotations remain profitable, staffing requirements, productivity trends and customer behaviour.
Attendance data becomes valuable operational intelligence. If one site regularly needs longer than planned, the issue may be the specification, the equipment, the customer expectation or the original quotation. Without attendance data, the business may never see the pattern clearly.
What happens if someone forgets to check out?
One common concern with digital attendance is simple: what if someone forgets?
KleanFlo includes automated supervisor alerts to reduce that risk. Every scheduled shift has an expected finish time. If a cleaner has not checked out within a configurable period after that finish time, for example 15 minutes, KleanFlo can automatically notify the assigned supervisor.
The supervisor can then contact the employee, confirm they are safe, check whether the shift has overrun, confirm whether additional work has been completed or determine whether the employee simply forgot to check out.
This improves payroll accuracy and also supports lone worker procedures.
It is not about catching people out
Good attendance management should never create a culture of mistrust. Instead, it should provide a fair, transparent record for everyone.
Managers gain confidence that labour costs are accurate. Employees gain confidence that they are being paid correctly. Customers benefit from improved operational visibility. Everyone works from the same information.
Common attendance mistakes
Many cleaning companies still rely on paper timesheets, spreadsheets, phone calls, text messages, WhatsApp conversations and estimates. These methods make it difficult to answer simple questions.
- Did the employee work the scheduled hours?
- Was overtime authorised?
- Has payroll been calculated correctly?
- Is the contract still profitable?
- Why are labour costs increasing?
Without accurate attendance records, managers are often making decisions based on assumptions.
How KleanFlo helps
KleanFlo has been designed specifically for commercial cleaning companies. Managers can compare scheduled and actual attendance, configure allowable attendance variances, automatically approve shifts within tolerance, highlight attendance exceptions, reduce payroll administration, review overtime, identify recurring attendance trends and receive missed check-out alerts.
Rather than creating more administration, KleanFlo helps businesses focus on the attendance differences that genuinely matter.

Small differences become big numbers
Twelve minutes does not feel significant. Across one employee, it may not be. Across fifty or one hundred employees, those small attendance differences can quietly become tens of thousands of pounds every year.
The solution is not more administration. It is better information.
By combining accurate attendance records, configurable payroll tolerances, exception-based management and automated supervisor alerts, KleanFlo helps commercial cleaning companies improve payroll accuracy, reduce administration and gain a clearer understanding of labour costs while ensuring employees are treated fairly.
