Why handover is where quotes often fail

A cleaning company can win the quote and still damage the relationship in the first week if the handover is weak. The customer thinks the surveyor understood the building, but the cleaners arrive without the right access notes, scope, timing, equipment or reporting process.

The accepted quote should become an operating record. That means the information used to price the work needs to move into customer setup, site setup, contract setup, schedules, staff instructions and review controls.

Confirm what has actually been accepted

Before setup starts, confirm the version of the quote the customer accepted. Sales conversations often change scope, price, start date, consumables, periodic work or cleaning days. The operations team needs the final agreed version, not an earlier draft.

  • Accepted price, billing frequency and contract duration.
  • Agreed start date, mobilisation date and first clean date.
  • Included areas, excluded areas and optional work.
  • Cleaning frequency, working days and cleaning windows.
  • Consumables, equipment and customer-supplied items.
  • Reporting, audit and customer communication expectations.

Turn the quote into a contract setup plan

Contract setup is where sales detail becomes repeatable work. Create the customer, site, contract, schedule, staff assignments, task lists, documents and reporting expectations before the first clean. If any information is missing, go back to the quote owner or customer before guessing.

The setup should answer a simple question: if a cleaner, supervisor or office manager looks at the contract next week, can they understand what was sold and what needs to happen?

Create the schedule before the first visit

The first week should not be built from memory. Create the planned schedule, assign staff, confirm shift times and make sure the mobile team can see the right site detail. If the work includes split shifts, multiple cleaners, supervisor visits or periodic tasks, these should be visible before service starts.

Brief the cleaning team properly

Cleaners need more than a start time. They need to know the site, access process, task priorities, standards, equipment, customer sensitivities, reporting route and what to do if something is not as expected.

Supervisors should check the first visit closely. A first-week issue is easier to fix when it is spotted immediately and recorded clearly.

Review the first week against the quote

After the first few visits, compare the real work with the quoted assumptions. Are the hours realistic? Are tasks clear? Are cleaners able to access the site smoothly? Is the customer receiving the communication they expected? Early review protects the margin and shows the customer that the contract is being managed.
